The flow: Speak the job, quote sent, client approves, you schedule, tap Job done to invoice, paid. That's it. Every job follows this path and Voquo tracks where each one is.
New job. Tap the lime mic, pick Estimate, Invoice, or Book a job. Speak the client name and the work, review, send.
Jobs. Top strip shows three live totals: Quotes pending, Work approved, Outstanding invoices. Tap any tile to jump to that filter.
Jobs · To do. Your turn. Approved jobs that need a date, scheduled jobs, anything in progress.

Do this once and it behaves exactly like a proper app: no browser bar, instant loading, works on site.
iPhone (Safari only): Open voquo.io/app.html in Safari, tap the Share button at the bottom (square with arrow pointing up), scroll down and tap Add to Home Screen, tap Add.
Android (Chrome): Open voquo.io/app.html in Chrome, tap the three-dot menu (top right), tap Add to Home screen, tap Add.
Your price list is what the AI uses to build every quote. Voquo pre-loads standard industry prices for your trade, but your real prices are almost certainly different. Update them before sending your first quote.

You don’t have to say everything in one go, or in any neat order. Speak in short bursts as things come to mind and Voquo stitches them together.
Add note after note, each one saved as you go, then build the estimate when you’re ready. You can stop and pick the job back up later without losing anything.
Say a name Voquo has seen before and the email and address auto-fill from their last job. You don’t need to repeat anything.
It tolerates surname misspellings too. If Whisper hears “Rachel Doy” but you have a “Rachel Doig” on file, Voquo matches and shows a small “Matched” banner so you can confirm or undo.
If you don’t say a number, the quantity defaults to 1. This is the most common silent mistake.
Spoken digits work. “Six fire-rated downlights” gives you qty 6. Casual phrases work too. “A couple of” reads as 2.
You don’t need to memorise your price list. Voquo recognises the common ways trades say each thing.
Twin socket matches: double socket, plug socket, power point, power socket.
Fuseboard matches: consumer unit, CU, fuse box, fuse board, board upgrade.
Downlight matches: spot, ceiling spot, recessed light, pot light.
Extraction fan matches: extractor, bathroom fan.
Labour matches: full day, day rate, half day, morning, afternoon, two guys, two electricians.
If the work isn’t in the price list, Voquo doesn’t guess. It writes your description on the line and leaves the price blank for you to fill.
Example: say “run cable from consumer unit to garage including making good and supplying spur” and that exact phrase appears as a line item with price £0. You set the price before sending.
Misspoke? Just correct yourself out loud. Voquo uses the corrected version, not the first one.
These all work:
“Six downlights, no wait, eight downlights”. Lands on qty 8.
“Address is 41, sorry, 42 Thornbury Drive”. Lands on 42.
“Not Brian, I meant Brent”. Client name corrected.
There’s no time limit on the recording. Speak naturally, pause if you need to, take as long as you need.
After you tap stop, Voquo shows “Transcribing…” then “Reading what you said…” for about 5 to 10 seconds. Don’t tap anything during this. The AI is working.
Voice gets you 90% of the way there. The other 10% is meant to be tapped and edited. That’s the workflow, not a failure mode.
Every field on the screen is editable. Tap the client name to fix a typo, tap a line item to change the description, tap a qty or price to update the number. Add or remove items with “+ Add item” and the bin icon.
1. Start a new quote. Tap the mic from Home, then choose Estimate.
2. Speak the job. Hold the phone naturally and describe the work out loud. Say the client’s name, the job address, and quantities clearly (six downlights, not “some”). Returning clients auto-fill from their last job.
3. Review the quote. Voquo builds a line-item quote from your price list. Check every line. Tap to edit, or tap + Add item for anything missing.
4. Add optional details. A Note for client appears on the quote. A Private note is just for you.
5. Tap Send. Your client gets a branded email with a one-tap approval link.
Tip: keep your prices & templates fresh for sharper quotes ›The AI matches what you say to your price list. The closer your words to the item names, the more accurately it prices.
Say quantities clearly: "six downlights" not "some downlights". "Two twin sockets" not "a couple of sockets".
Include labour: Always say your labour at the end. "Full day labour" or "half day". The AI won't add it unless you mention it.
If it goes wrong: Don't re-record. Tap any line item to edit directly, or tap the mic again to add more items.
Standard (20%). Use this for the vast majority of jobs. Domestic and commercial work for direct clients.
Reduced (5%). Only for qualifying energy-saving installations on residential properties. If in doubt, use Standard.
Domestic Reverse Charge (DRC). Use this when you're working as a sub-contractor for a VAT-registered contractor in construction. The main contractor accounts for the VAT themselves.
Control how much detail your client sees on their quote. Change the view mode when building a quote.
Itemised (default). Full breakdown. Every line item, quantity, unit price, and total.
Scoped. Work listed, total only. No per-line prices.
Simple. Just the job description and total.
Every job has an Edit button at the top right. It opens the Manage job sheet, where each edit is contextual.

3. Pick what you want to change: Edit estimate, Edit client details, Reschedule, or Assign engineers
4. When you save, you'll be offered to resend an updated copy to the client
The client gets a fresh email with your changes. The original stays in the audit trail.
When a client approves, the job moves to the To do tab, flagged Approved.
1. Open the job. The approved card shows a date, time, and duration ready to set.
2. Pick the slot, choose whether to notify the client, tap Confirm date. The job moves to Scheduled.
3. On the day, tap Send ETA to message the client with an arrival window (15, 30, 45, or 60 minutes).
4. When the work is done, tap Job done, invoice now. The original line items carry straight onto the invoice.
5. Review the invoice, tap Send. The client gets a one-tap payment link.
6. When they pay, tap Mark as paid.
Sometimes a job grows beyond the original quote: extra sockets, more time on site, materials swapped out. Send a fresh invoice for the extras.

2. Start the client name. Voquo recognises returning clients and auto-fills their details.
3. Speak or type the extra items, review, and send
The new invoice sits against the same client in your records.
View your week or day: Tap Schedule in the bottom nav. Switch between Day and Week, use Prev or Next to move through.
Book a job from an approval: Open an approved job. The card has the date, time, and duration ready to set inline, tap Confirm date.
Add a new appointment directly: Tap the "+" on the Schedule screen, choose Book a job or Appointment, fill in the details, save.
Mark a job done: Open the scheduled job, tap Job done, invoice now. The invoice opens ready to review and send.
Don't leave dead jobs cluttering your To do list. Close them out so your live list stays clean.

Sometimes a job is approved but can't be scheduled yet. Put it on hold rather than closing it.

4. When ready to proceed, open the job and tap Resume job
Most tradespeople keep a running list in their head or on their phone. Notes replaces that. One tap, speak it out loud, it's saved and linked to the right job automatically.
The best time: the moment something comes to mind. On site, in the van, just finished a job. Don't trust your memory.
The lime mic at the bottom-right opens a Choice picker. Pick Quick note to capture from wherever you are.
By voice: Tap the mic, speak naturally, tap again to stop. Edit anything misheard, then save.
By typing: Tap Type instead. Useful in noisy environments, or when you'd rather not speak.
After transcribing, Voquo checks whether any name in your note matches a client or job. If it finds one, it suggests linking.
Confident match: Linked automatically. A lime chip confirms which job. Tap to open it.
Possible match: Shown as a suggestion chip. Tap to confirm before saving, or ignore to save standalone.
Linked notes show a lime left border in the list. Tap the job chip to jump straight in.
If your note is a question about a job or client, Voquo looks the answer up in your job history before you save.
Try saying: "Did we invoice the Morrison job?" or "What did we charge Henderson last time?"
The answer appears in a green box. The note is saved either way.
The list is designed to stay short and focused. Every item has a timestamp.
Marking done: Tap the circle on the left. Moves to "Done today" with a timestamp.
Done today: After 24 hours items drop out of the main view.
Archive: Resolved notes older than 7 days move automatically to archive. Tap "View archived" at the bottom of Notes. Nothing is ever auto-deleted.
Un-resolving: Tap the ticked circle to move back to open.
Deleting: A small delete link appears on resolved cards. Permanently removes the note.
Templates let you add a full set of line items with one tap. Perfect for jobs you quote regularly.

4. Add the line items and quantities you typically quote
5. Save. Next quote, tap Templates to load it in one tap.

3. Enter their name, email, and role. For engineers, toggle financial access and job visibility as needed.
4. Tap Send invite. They get a magic-link email to sign in.
Engineers see jobs and notes. Admins can also send quotes and invoices. Owner is the account holder, full access plus billing.
Settings, Company. Change your company name, address, VAT number, and BACS details. Changes apply to every quote and invoice you send from that point.
Existing sent documents keep their original details in the audit trail.

Sign in to Voquo from any other device using your email and password. Then go to Settings, Account, Sign out everywhere. This logs out all devices including the lost phone.
Settings, Billing. Shows your trial end date or active subscription, when the next charge is due, and a record of past invoices.
Settings, Billing, tap Cancel subscription. You'll be asked to confirm. Your access continues until the end of your current paid period.
Your account becomes read-only at the end of your paid period. You can still view all your quotes and records but can't create new ones. After 90 days of inactivity your data is permanently deleted unless you reactivate.
Export before cancelling if you want a copy. Settings, Account, Export data.
Notes you've ticked done land here automatically after 24 hours. They stay until you delete them.
Restore brings a note back to your active list.
Delete forever removes it permanently - there's no undo.
Speak a question, a note or a reminder - Voquo answers, keeps it, or nudges you when it is due, so nothing lives only in your head.
Notes are personal scratchpad. They auto-archive after you mark them done.
Voquo categorises every note: Personal, Job, or Admin.
If it gets it wrong, tap the category tag on any note to move it to the right place.
Voquo can answer questions about your invoices, quotes, schedule, and payments.
Try things like: “Did I send Helen’s invoice?” or “When am I at Mrs Patel’s?”
Notes are personal voice scratchpad. Job-relevant content that needs to live forever should go in the job’s own notes section.
