THE FLOW

New Quote — Your starting point for every job. Enter the client, tap the mic, speak the work, send.

iPhone (Safari only): Open voquo.io/app in Safari → Tap the Share button at the bottom (square with arrow pointing up) → Scroll down and tap Add to Home Screen → Tap Add.
Android (Chrome): Open voquo.io/app in Chrome → Tap the three-dot menu (top right) → Tap Add to Home screen → Tap Add.
⚠ On iPhone, voice recording only works in Safari. If you open the app in Chrome on iPhone, the mic will not work.
Your price list is what the AI uses to build every quote. We’ve pre-loaded standard industry prices for your trade — but your real prices are almost certainly different. Update them before you send your first quote.

2. Tap the Price List tab
3. Tap any item to edit the name or price. Use the bin icon to remove items you don’t offer.
4. Tap + Add item to add anything that’s missing
5. Changes save automatically
💡 The more accurate your prices, the more accurate every quote. Spend 10 minutes here and the AI will price correctly every time.
1. Start a new quote — Tap New Quote at the bottom of the screen.
2. Enter the client details — Type the client name and job address. If they’re a returning client, their name will appear as you type — tap it to fill everything in automatically.
3. Tap the mic and speak the job — Hold the phone naturally and describe the work out loud. Say quantities clearly: “four fire-rated downlights, two twin sockets, full day labour”. Speak at a normal pace — the AI is listening for job items, not every word.
4. Review the quote — Voquo will build a line-item quote from your price list. Check every line. If anything is wrong, tap it to edit the description, quantity, or price.
5. Add optional details — Add a public note visible to your client (e.g. “price may vary subject to access”), or a private note just for you.
6. Tap Send — Your client gets a branded email with a one-tap approval link. You’re notified the moment they approve.
💡 The best time to send a quote is while you’re still on site or in the van. The first quote to land usually wins the job.
The AI matches what you say to your price list. The closer your words are to the item names in your list, the more accurately it prices.
Say quantities clearly: “six downlights” not “some downlights”. “Two twin sockets” not “a couple of sockets”.
Include labour: Always say your labour at the end — “full day labour” or “half day”. It’s easy to forget and the AI won’t add it unless you mention it.
Quiet environment: If you’re on a noisy site, sit in the van. Background noise doesn’t break the transcription but it can reduce accuracy.
If it goes wrong: Don’t re-record — just tap any line item in the quote to edit it directly. Or tap the mic again to add more items to the existing list.
Standard (20%) — Use this for the vast majority of jobs. Domestic and commercial work for direct clients.
Reduced (5%) — Only for qualifying energy-saving installations on residential properties (e.g. certain insulation, heating controls, renewable systems). If in doubt, use Standard.
Domestic Reverse Charge (DRC) — Use this when you’re working as a sub-contractor for a VAT-registered contractor in construction. The main contractor accounts for the VAT themselves — you don’t charge it. The quote will show “Customer to account for VAT under SI 2019/892”.
⚠ DRC only applies when both you and the main contractor are VAT registered, and the work is within the CIS scheme. If you’re quoting direct to a homeowner or business, use Standard.
You can edit a quote any time before the client approves it.
1. Go to Jobs → Needs action and tap the job
2. Tap Edit job at the top right
3. Make your changes — add or remove line items, adjust prices, update the client details
4. Tap Resend quote to send the updated version to your client. The old link still works but will show the updated quote.
Once a quote is approved you can’t edit the quote itself, but you can edit the invoice before sending it.
When your client taps Approve on their quote, you get a notification. Here’s what to do next.
1. Schedule the job — Open the job from Needs action. Tap Schedule job. Pick the date and time on the calendar. The job moves into your Scheduled view.
2. Complete the work — Nothing to do in the app during the job itself.
3. Send the invoice — Open the job. Tap Convert to invoice. Review the line items (you can add or adjust for any extra work), then tap Send invoice. Your client gets a branded invoice with your BACS details and payment terms.
4. Mark as paid — When payment lands, open the job and tap Mark as paid. The job closes and moves to your history.
💡 The full flow from approval to paid takes about 30 seconds in the app.
Jobs often have extras. When you convert to invoice, you can add anything that came up on the day before it goes to the client.
1. Open the completed job and tap Convert to invoice
2. On the invoice preview screen, tap Edit invoice
3. Add any additional line items — extra materials, additional labour, call-out charges
4. If the client paid a deposit, toggle Deposit paid and the balance due will adjust automatically
5. Tap Send invoice when ready
PAT certificates are generated as a PDF and emailed to your client instantly. You keep a full history of every cert issued.
1. Tap More → PAT Certificate
2. Enter the client name, email, and site address. Your name pre-fills from your account.
3. Set the test date (today by default) — the recommended retest date auto-fills to one year later. Adjust if needed.
4. Fill in your PAT tester details (make/model, serial number, calibration date). These appear on the certificate and are required for IET compliance.
5. Add appliances — tap Common items for quick presets, or tap + Add Appliance manually. For each appliance, enter the name, location, class, and test results.
6. Tap Preview & Send to review, then Send Certificate. Your client receives a PDF by email immediately.
Certificates are stored under More → PAT Certificate → History. You can resend any previous cert from there.
CP12 Gas Safety Certificates are legally required for all rental properties annually. Voquo generates a compliant PDF and emails it to the landlord instantly.
1. Tap More → Gas Safety Certificate (CP12)
2. Enter the landlord or client name, email, and property address.
3. Enter your name and your Gas Safe registration number — this is a legal requirement on every CP12.
4. Set the inspection date — the certificate expiry date auto-fills to 12 months later.
5. Add your flue gas analyser details if required (make, serial number, last calibration date).
6. Add each gas appliance — tap Common appliances for presets (boiler, cooker, hob, fire) or add manually. For each appliance record: description, location, make/model, flue type, burner pressure (mbar), heat input (kW), and results for gas tightness, safety devices, ventilation, and overall result (Safe / At Risk / Immediately Dangerous).
7. Tap Preview & Send, review, then Send Certificate.
⚠ Only Gas Safe registered engineers can legally issue a CP12. Your Gas Safe registration number must be accurate on the certificate.
The landlord must provide a copy to tenants within 28 days and keep records for 2 years. The certificate PDF satisfies this requirement.
View your week: Tap Schedule in the bottom nav. Use the arrow buttons to move between weeks.
Book a job from an approval: Open an approved job → tap Schedule job → pick the date and time. The job appears in your week view.
Add a new appointment directly: Tap any empty slot in the week view → fill in the details → tap Save.
Mark a job complete from schedule: Tap a booked job in the week view → tap Mark complete → then convert to invoice from the job detail screen.
Don’t leave dead jobs cluttering your Needs action list. Close them out so your live list stays clean.

3. Select the reason: no response, declined by client, cancelled, or duplicate quote
4. The job moves out of active views but stays in All jobs history
Closed jobs can be re-opened if a client comes back. Tap the job in All jobs and tap Re-open.
Sometimes a job is approved but can’t be scheduled yet — the client is waiting for planning, materials are delayed, or they’ve gone quiet. Put it on hold rather than closing it.

2. Tap Put on hold and select the reason (awaiting materials, client unresponsive, planning/permits, other)
3. The job stays in your jobs list but is clearly marked as on hold
4. When it’s ready to proceed, tap Resume job
Templates let you add a full set of line items with one tap. Perfect for jobs you quote regularly.
1. Go to More → Templates & Prices
2. Tap the Templates tab
3. Tap + New template. Give it a name (e.g. “Full rewire” or “Bathroom fit”).
4. Add the line items and quantities you typically quote for that job type
5. Save. Next time you’re building a quote, tap Templates to load it in one tap and adjust from there.
💡 A good template for your most common job type will cut your quoting time to under 30 seconds.
You can control how much detail your client sees on their quote. Change the view mode when building a quote.
Itemised (default) — Full breakdown. Every line item, quantity, unit price, and total. Best for most jobs — clients can see exactly what they’re getting.
Scoped — Shows descriptions and quantities but hides unit prices. Useful when you don’t want to expose your pricing structure but still want to show the scope of work.
Simple — Just the job description and total. Good for straightforward jobs where a full itemised list would look over-complicated.
1. Go to More → Team
2. Tap Invite engineer
3. Enter their name and email address
4. They’ll receive a magic link email. When they tap it, they’re in — connected to your company account with access to the shared job history.
You can add up to 5 engineers on the standard plan. Pending invites are visible under Team until they accept.
Your company details appear on every quote and invoice. Your BACS details appear on every invoice. Keep these accurate.
1. Go to More → Settings
2. Update your company name, address, phone, VAT number, and company registration number
3. Scroll to Payment details and enter your account name, sort code, and account number
4. Tap Save settings
⚠ Double-check your BACS details before sending your first invoice. Incorrect bank details on an invoice can cause payment delays.
Voquo uses magic links — no password required.
1. Go to voquo.io/app
2. Enter the email address you signed up with
3. Tap Send sign-in link
4. Check your inbox — you’ll get an email within 30 seconds. Tap the link inside it.
Not arriving? Check your spam or junk folder. The email comes from [email protected]. If it’s still not there after 2 minutes, tap Send sign-in link again.
Link expired? Magic links are valid for 1 hour. If yours has expired, just request a new one.
If your phone is lost or stolen, you can immediately sign out of every device to protect your account and client data.
From another device:
1. Go to voquo.io/app.html and sign in with your email
2. Go to More → Settings and scroll to Security
3. Tap Sign out all devices — this instantly ends the session on the stolen phone
4. Anyone holding the stolen phone will be immediately signed out and cannot access your account or client data
⚠ After signing out all devices, your stolen phone will show the sign-in screen. Without access to your email inbox, nobody can log back in.
Can’t get to another device straight away? Contact [email protected] and we can sign you out remotely.
Go to More → Settings and scroll to Subscription. You’ll see exactly how many trial days you have left, or that your subscription is active.
If you’re on a trial, no charge is ever made automatically. When your trial ends you’ll be prompted to subscribe — nothing happens until you choose to.
Go to More → Settings → Subscription and tap Cancel subscription. A confirmation screen appears — confirm and your subscription is cancelled instantly. No emails, no phone calls, no retention scripts.
You keep full access until the end of your current billing period. Nothing changes until then.
All your quotes, invoices, clients and job history are kept securely for 30 days after your subscription ends or your trial expires. After that, everything is permanently deleted.
Before you leave, save any quotes or invoices you need — screenshot or PDF-save anything important from the job screen before the 30 days are up.
💡 If you’re cancelling because of a missing feature, pricing, or something not working — email us first. We’d genuinely like to fix it.
Most tradespeople keep a running list in their head or on their phone — jobs to chase, materials to order, calls to make. Field notes replaces that. One tap, speak it out loud, it’s saved and linked to the right job automatically.

💡 The best time to use it: the moment something comes to mind. On site, in the van, just finished a job. Don’t trust your memory — capture it immediately.
The teal “Note” pill button is always visible at the bottom-right of the screen. One tap opens the capture sheet from wherever you are in the app.
By voice (recommended): Tap the mic. Speak naturally at a normal pace. Tap again to stop. Your words appear as text — edit them if anything was misheard, then tap Save.
By typing: Tap “Type instead” below the mic. Write the note directly. Useful in noisy environments or when you’d rather not speak out loud.
On the schedule screen: Tap the “+” button, then choose “Field note” from the menu alongside Book a job and Appointment.
⚠ Voquo uses the same voice engine as the quote screen — it needs a microphone permission. If you’ve blocked it, go to Settings → Safari → Microphone and allow voquo.io.
After transcribing, Voquo checks whether any name in your note matches a client or job already in your account. If it finds one, it suggests linking the note to that job.
Confident match: Linked automatically. A teal chip confirms which job it’s connected to. Tap the chip if you want to open that job directly.
Possible match: Shown as a suggestion chip. Tap it to confirm the link before saving, or ignore it to save the note standalone.
Linked notes show a teal left border in the To-do list. Tap the job chip on any card to jump straight into that job.
Linking is optional. Notes without a linked job are perfectly valid — stock orders, personal reminders, and general tasks often don’t belong to a specific job.
If your note is a question about a job or client, Voquo will try to answer it from your job history before you save. This saves you hunting through the jobs list to check something you half-remember.

The answer appears in a green box before you save. The note is saved either way so you have a record of the question and the answer.
Voquo can only answer from jobs in your account. It will never guess — if it can’t find a match, it saves the note without an answer.
The list is designed to stay short and focused. Every item has a timestamp showing when it was captured. Resolved items show when they were actioned.
Marking done: Tap the circle on the left of any item. It moves to the “Done today” section below the open list, with a timestamp showing when you resolved it.
Done today: Items you resolved today stay visible at the bottom as a short record of what you actioned. After 24 hours they drop out of the main view.
Archive: Resolved notes older than 7 days move automatically to the archive. Tap “View archived” at the bottom of the To-do screen to see them. Nothing is ever deleted.
Un-resolving: Tap the ticked circle on any resolved item to move it back to open. Useful when something comes back up.
Deleting: A small delete link appears on resolved cards. Tap it to permanently remove the note — useful if you don’t want it visible in the archive.
💡 A clean to-do list is a clear head. Aim to have nothing in Open at the end of the working day — either resolved or rescheduled.
