Terms of Service

These are the terms for using Voquo. They are written to be read, not scrolled past. If anything here is unclear, email hello@voquo.io and a person will answer.

Who you are dealing with

Voquo (voquo.io) is run from Scotland, United Kingdom ("Voquo", "we"). By creating an account you agree to these terms.

What Voquo is

Voquo turns what you say or type into business documents: estimates, quotes, invoices, certificates and job notes, priced at your rates and sent in your name. It is a tool that works from your input. It drafts; you check and send.

Your account

You need to give us accurate details and keep access to your email account secure, since signing in works by email link. You are responsible for what happens under your account. One account is for one business; the Team plan covers up to five people in that business.

Your content and your customers

Your data stays yours: your jobs, prices, templates, documents and customer records. You confirm you are entitled to use the customer details you put in, and you are responsible for the documents and emails you send, including anything you edit before sending. When you turn on automatic follow-ups, Voquo sends those emails in your name on the schedule you set, and you get a copy of every one; they count as sent by you.

How Voquo learns

Voquo gets better the more you use it. The prices you correct, the templates you shape and the way you run your jobs are remembered in your account and used to draft your next document more accurately. That memory is part of the service and stays with your account.

We also keep and use information in aggregated, anonymised form, with names, contact details and anything else that could identify you or your customers removed. We use it to improve Voquo and to build new features, such as pricing benchmarks and smarter drafting. Once information is anonymised like this it can no longer identify anyone, so we may keep and use it after your account closes.

Your customers' personal details are never used to build Voquo. Their names, addresses and contact details are used only to do the work you asked for: the documents, emails and bookings you send. Voquo learns from patterns, not from people.

Documents and certificates

Voquo generates documents, including CP12 gas safety and PAT certificates, from the information you enter. You are responsible for holding the qualifications your work requires and for the accuracy of what you certify. Voquo does not inspect your work and a Voquo-generated certificate is a record of your declaration, not ours.

Your records and your responsibilities

Records lets you photograph receipts, log costs and mileage, and export them. It is a tool for keeping your paperwork in one place. It is not an accountant, it does not file anything with HMRC, and nothing it shows you is tax advice.

What a receipt is read as is a suggestion drawn from a photograph, and you confirm it before it counts towards anything. The figures Voquo shows you, including any VAT totals, are working figures from what you have put in. Check them against your own records before you file a return or rely on them.

Keeping records for as long as the law requires is your responsibility, not ours. HMRC expects a business to keep its records for several years, and that duty sits with you whether or not you are still a Voquo customer. We hold your records as a service while you use Voquo, not as your statutory system of record. Export what you need, and keep your own copy.

Trial and billing

New accounts start with a free 14-day trial, no card required. After that, Voquo is a monthly subscription: Solo at £29 per month or Team at £49 per month, billed through Stripe. That is the full price you pay. Voquo is not currently VAT registered, so no VAT is charged and we are not able to issue VAT invoices. Prices can change; if they do for your plan, we tell you by email at least 30 days before it affects you.

Taking card payments

You can offer your customers card payment, including Apple Pay, through Stripe. When you switch this on, you open your own Stripe account connected to Voquo. That account is yours, and Stripe's own terms apply to it: the Stripe Connected Account Agreement, which includes the Stripe Services Agreement. Setting up means passing Stripe's checks, which happen on Stripe's own pages, not ours.

Your customers' money never passes through Voquo. Payments go from your customer to your Stripe account, and Stripe pays out to your bank. Voquo adds no fee of its own on payments and never holds, receives or controls the money. Stripe charges its standard processing fees, which it shows you when you set up and takes before paying out.

Because the payments are yours, what comes with them is yours too: refunds, disputed payments and chargebacks, and any losses on them, are matters between you, your customer and Stripe. Voquo cannot reverse, hold or release a payment.

Stripe monitors payments for fraud and risk across everything it processes. If Stripe restricts or takes action on your account for that kind of reason, we will tell you what we know as soon as we reasonably can. Stripe may also need more information from you, at setup or later, and you agree to provide it; the Finish setup button in the app always takes you to the right Stripe page to do that.

Cancelling

Cancel any time from inside the app. No notice period, no exit fee, no phone call. You keep access until the end of the period you have paid for. We do not refund part months. Your data is kept for 15 months after cancellation and then permanently deleted, as described in the Privacy Policy. That window exists so you can still get your records out after you leave; export anything you need before it closes.

Availability

We work to keep Voquo available and fast, but no online service can promise it will never go down. Voice capture depends on your phone and signal. We may improve or change features over time; if we ever remove something material to how you work, we will tell you first.

Liability, in plain terms

Voquo drafts documents from what you tell it. You review everything before it goes to a customer, so you are responsible for the final content of what you send, the prices you charge and the work you do. We are not liable for indirect losses such as lost profits or lost contracts. Our total liability to you is capped at the amount you paid us in the 12 months before the claim. Nothing in these terms excludes liability that cannot legally be excluded, including for death or personal injury caused by negligence, or fraud.

Fair use

Do not use Voquo to send spam, to harass anyone, or for anything unlawful. Automatic follow-ups are built polite and capped by design; do not attempt to work around those limits. We can suspend accounts that abuse the service or put other customers at risk, and we will tell you why if we do.

Governing law

These terms are governed by the law of Scotland, and disputes belong to the Scottish courts. In practice, email us first; almost everything can be sorted without any of that.

Changes to these terms

If we change these terms in a way that matters, we will email you and update the date at the top before the change takes effect.
